Stop 3 of 4 · Clinipulsia CRM
CRM : CRM for clinics and medical centres
The patient is in three places at once: in the diary, in a notebook at the front desk, and in the head of whoever spoke to them.
One record per patient. Where everything else lands
With CRM the centre knows where every person stands: one record with the specialty they asked about, their cover, what was discussed and their appointments, clear statuses and follow-up tasks that appear on their own.
How it works
Everything that happens in Atiende and Captia lands here without copying anything.
The product
What it does CRM
The single patient record
Contact details, the specialty they asked about, whether they are covered by insurance or private, the history of the conversation with Sía, past and future appointments, and the consent they gave, with its date. One screen instead of four separate places.
No duplicates
If the same person writes on WhatsApp and also books through the website, it recognises them and merges the two. No second record, and nothing already discussed is lost.
Statuses that say what is missing
New, appointment requested, appointment booked, seen, follow-up, no reply. The status is not a decorative label: each one triggers the tasks that belong to it.
Automatic follow-up tasks
Whoever asked for an appointment and never confirmed, whoever did not turn up, whoever finished a treatment and has a review pending. They appear in the work queue without anyone having to remember.
The dashboard a clinic actually cares about
New patients, appointments booked, attendance rate and active follow-up. The numbers that say whether the month is going well, not a screen full of charts nobody looks at.
Live with Atiende
It receives everything that happens in the conversation and tells it back: appointment booked, appointment cancelled, patient asking for a person. Communication both ways.
It works without Atiende too
Patients who arrive by phone, through the website form or at the front desk. They are added by hand and enter the same queue under the same rules.
Several specialties and visiting practitioners
Each practitioner sees their own, the centre sees the whole, and the visiting practitioner who comes in two afternoons a week has their diary and their patients without access to everything else.
Access log and erasure on request
Who looked at which record and when, and the ability to erase a person’s data when they ask. Always required, and unavoidable with health data.
Frequently asked questions
Questions about CRM
What does the patient record hold?
Contact details, the specialty they asked about, whether they are insured or private, the history of their conversation with Sía, their past and future appointments and the consent they gave, with its date. One screen instead of four different places.
Which follow-up statuses does the CRM have?
New, appointment requested, appointment booked, seen, follow-up and no reply. Each status triggers its own tasks: whoever asked for an appointment and did not confirm, whoever did not turn up or whoever has a review pending appears in the work queue without anyone having to remember.
What does the dashboard show?
The figures that matter to a clinic: new patients, appointments booked, attendance rate and active follow-up.
Does it work without Atiende?
Yes. Patients who arrive by phone, through the website form or at the front desk are added by hand and enter the same queue with the same rules.
Does every practitioner see every record?
No. Each practitioner sees their own and the centre sees the whole picture. The external practitioner who consults two afternoons a week has their diary and their patients without access to everything else.
Where does patient data live?
The clinic is the controller of its patients’ data and Clinipulsia (Phygitalbond S.L.) acts as processor. Server location, sub-processors and international transfers are set out in the data processing agreement signed with each clinic under Article 28 of the GDPR. Inside the platform the data is treated as health data: role-based access, a log of who viewed what, and deletion on request.
